All data concerning the equipment, pressure vessel, spare parts, Atex directives, documentation and preventive maintenance of the new investments of industrial companies can now be collected, transferred and accessed efficiently in the customer's own maintenance and material management system. The SmartCollect service solution, developed by Artekus Oy, is a longed-for, extensive and modern way to manage the systematic progress of data collection, even in sizable investment projects. SmartCollect is dynamic. SmartCollect can be dynamically scaled according to the customer’s needs related to data collection. SmartCollect tables and fields will be designed according to the needs of the customer’s maintenance system. The service solution saves both time and expenses in the project. Those familiar with industrial new investment projects know well how many different parts a single project is comprised of. The coordination of the parts of data collected by various equipment suppliers and other co-operation partners requires professional experience in the fields of information technology and maintenance.These fields are fully integrated in the new comprehensive, Internet-based SmartCollect service, benefiting the customer as time and cost savings. SmartCollect manages project data collecting from the beginning to the end. It is recommended that SmartCollect be introduced directly in the phase when the investment agreement is negotiated: this enables the timely collecting of data from the different suppliers in the extent and form agreed upon. Prior to the start-up of the plant, the data is electronically transferred to the customer’s own maintenance system, allowing the customer to follow the life cycle of supplied equipment and the history of the plant in the maintenance system from the start-up on. SmartCollect service – quick and efficient introduction. As soon as the SmartCollect service agreement has been signed, Artekus will establish a designated database for the customer’s project on one of Artekus’ servers. Suppliers participating in the project can submit data over the Internet in the preferred column order, using the Excel data collection spreadsheets included in SmartCollect or filling in the data on the provided web forms. Project data can be transferred directly from the suppliers' design or purchasing system databases to the SmartCollect database, thus enabling the customer to access all supplier data during the entire project. When all agreed data material has been collected, it is once more reviewed with the customer prior to transfer to the customer’s actual maintenance and material management system. Representatives of suppliers and customers can upload documents to SmartCollect and copy existing documents to their computers within the limits of user rights. SmartCollect development - background. Artekus started constructing the service in autumn 2001. Poorly managed data collection in new investments complicates the utilisation of maintenance and material management databases. Collecting data afterwards manually is tiresome and expensive, which means that it is often neglected. With the current working methods, data is spread in different locations, overall control of the project is hampered and workload increased. The completed work is difficult to utilise in the following projects. In our opinion, currently the best possible way to process data collection is to use a comprehensive service based on public Internet.
